About this role

The Payable Accountant is responsible for managing the company’s accounts payable function, ensuring that all supplier invoices, staff claims, statutory payments, and other financial obligations are properly reviewed, recorded, approved, and paid on time. The role ensures accuracy, compliance with company policies, proper documentation, and effective vendor relationship management.


Key Responsibilities

  • Invoice Processing

Receive, review, and process supplier invoices in accordance with company policies.

Verify invoices against purchase orders, delivery notes, contracts, and approved requisitions.

Ensure invoices are properly coded to the correct expense, cost centre, project, or department.

Record invoices accurately in the accounting system.

  • Payment Processing

Prepare payment schedules for suppliers, contractors, consultants, and service providers.

Ensure all payments are properly supported and approved before processing.

Prepare bank transfer instructions, cheques, or electronic payment files.

Monitor due dates to ensure timely payment and avoid penalties or service interruptions.

  • Vendor and Supplier Management

Maintain accurate vendor accounts and records.

Reconcile supplier statements with the company’s records.

Follow up on discrepancies, missing invoices, credit notes, or overpayments.

Respond professionally to supplier payment queries.

  • Statutory and Tax Compliance

Ensure proper withholding tax treatment on applicable supplier payments.

Assist in preparing withholding tax schedules and supporting documents.

Support VAT input documentation and other tax-related reconciliations.

Ensure compliance with relevant tax laws, company policies, and audit requirements.

  • Reconciliations and Reporting

Prepare accounts payable reconciliations regularly.

Reconcile advance payments, prepayments, accruals, and supplier balances.

Assist in month-end and year-end closing activities.

Prepare reports on outstanding payables, aged creditors, payment commitments, and accruals.

  • Documentation and Internal Controls

Ensure all payment vouchers and supporting documents are properly filed.

Maintain a clear audit trail for all payable transactions.

Ensure compliance with approval limits and internal control procedures.

Assist internal and external auditors with requested schedules and documentation.

  • General Finance Support

Assist with budgeting, cash flow planning, and expense analysis.

Support the finance team in resolving accounting issues.

Perform any other finance-related duties assigned by management.
